Before you reply

Six checks for a focused Amazon case response

  1. Choose the account and issue. Vendor Central (1P) and Seller Central (3P) have different workflows. Identify the marketplace, issue category and the current instructions shown in your account.
  2. Preserve Amazon's actual wording. In your private records, keep the case reference, response date and exact reply. Did Amazon approve, deny, ask for evidence, or redirect the request?
  3. Separate the unresolved question. State the specific transaction, quantity, amount or record that still needs an explanation. If part was approved, distinguish that amount from the remaining dispute.
  4. Match each statement to evidence. Identify what each record establishes and what it does not. A carrier pickup record, for example, is not by itself confirmation of the units Amazon received. List any missing record instead of treating it as proof you already have.
  5. Ask for one concrete next action. Request the relevant reconciliation, an explanation of a discrepancy, or the correct review path. Explain which evidence the previous response did not address.
  6. Verify before submitting. Check the current eligibility, evidence requirements and deadlines in the applicable Amazon workflow. Review every fact in the draft, submit it yourself, and retain the response. Track approval and verified payment separately.

This is an organizational checklist, not a statement that a claim is eligible or that Amazon owes a particular amount.

Keep the evidence paths separate

Which records might be relevant?

Vendor Central · 1P

Depending on the issue: purchase order, invoice, carton or pallet detail, ASN, routing and carrier records, receiving detail, deduction or agreement, dispute decision, credit and remittance.

Reconcile the records for the particular claim; not every record is required or sufficient in every workflow.

Seller Central · 3P

Depending on the issue: shipment or order references, relevant account reports, shipment contents, carrier delivery records, requested proof of ownership, case replies and reimbursement or settlement transactions.

Use the current instructions for your issue. An FBA shipment discrepancy is different from an order claim, payment question or account appeal.

Fictional example · Vendor Central

Part approved. The rest is unexplained.

A vendor disputes $1,000. Amazon approves $100 but does not explain the remaining $900. The vendor has an invoice, carton list and signed carrier pickup record; receiving detail is missing. These figures are invented, and the unresolved $900 is not established as money owed.

Thank you for approving $100 of the $1,000 dispute. Please clarify the basis for the remaining $900. Our pickup record supports carrier handover, but we still need to reconcile it to Amazon's receiving records. Please identify the relevant received quantities and explain the discrepancy, or advise the appropriate review path. We will track the approved amount separately until payment is verified.

The useful next step is to resolve the evidence gap. Repeating the original demand does not supply the missing receiving record.

Fictional example · Seller Central

A shipment reply repeats the same conclusion.

A seller reports a discrepancy in an FBA shipment. Amazon's latest message repeats that the investigation is complete without addressing the seller's comparison of shipped and recorded units. Carrier delivery confirmation is available, but it does not establish the exact units checked in.

The latest reply does not address the quantity comparison in my previous submission. Please clarify which shipment-content and receiving records support the recorded quantity, and which evidence is missing for the applicable review workflow. I will verify the current eligibility and submission requirements before proceeding.

Adapt any example to verified facts and the actual account workflow. Never invent evidence or submit a sample unchanged.
